SUBSCRIBERS OF OUR COMMUNICATIONS

As an existing or previous Jayva Global client, we use your personal information to send Christmas cards. We also submit occasional emails about additional consultancy and training services you may benefit from, case studies demonstrating how law firms have undergone transformation resulting from our support, and hot topics and current developments affecting your sector.

Because of the casual and informative nature of our communications, we operate on the basis of legitimate interests. This means you don’t need to actively consent to receiving our news but you always have a choice. You can opt out by simply emailing us to request removal from our mailing list at info@jayvaglobal.com.

You can also update your personal information and communication preferences when they change. Again, just email us asking to review the data we hold on you using the same email address above.


PEOPLE WHO CALL OR EMAIL US

When you call the Jayva Global team, we only log your personal information or add your name to our subscribers list if you ask us to do so. When you email Jayva, we monitor content, including file attachments, for viruses or malicious software. Again, we only log your personal information or add your name to our subscribers list if you ask us to do so. None of this information will be shared with any other companies.


PEOPLE USING OUR SERVICES

Jayva Global offers a wide range of consultancy and training support in order to help law firms work more efficiently, be it by implementing new software or bringing together people, processes, technology and data. Our services can be instructed on an ad hoc, ongoing or fixed term basis.

To deliver our services, we hold contact and account data on end users. This data is collated, stored and managed by our Global Chief Executive Officer Nicola Moore-Miller, Global Systems Administrator Alison Brown, Director of Global Operations Matthew Dagle and Head of Global Client Success Robert Bailey. Selected data is only shared with other Jayva employees as projects demand.

Data is stored in various systems including Outlook, LEAP, Moneypenny, Zoom, OneDrive, Teams, HappyFox, QuickBooks Online and Xero, all of which are subject to robust cybersecurity measures such as restricted access, permission levels, encryption, firewalls and anti-virus protection. We also hold limited printed records in locked filing cabinets at our Gosforth regional office in the UK and in Boston, Massachusetts in the US. The custodians of the keys are Alison Brown and Matthew Dagle respectively.

We operate a clean desk policy to ensure sensitive and confidential data is kept safe. Security awareness training is given to new staff during induction and we have a range of HR policies which ensure all of our employees fully comply with data protection requirements. These policies comprise a data protection policy, employee privacy notice, subject access request policy, and updated handbook and contracts of employment.

When you use our services, you can cancel your service agreement at any time and you are given an easy way of doing this.


WHAT’S OUR LEGAL BASIS FOR PROCESSING YOUR DATA?

As detailed in the ‘Subscribers of our communications’ section above, we believe we have a legitimate business need to store and process your personal information for some marketing purposes, whether you’re a client (on the basis that we can continue our professional relationship) or a prospective client (on the basis that we provide useful consultancy and training-related insights). As such, we’re operating under the legitimate interests lawful ground for processing. You always have a choice, though, and can opt out and update your personal information whenever your circumstances or preferences change.
